The Minutes of the last meeting were read and approved. 

Matters Arising

Mediaeval fair.

Richard had seen Steve Goodchild and Bernie, and it is clear that no script is ready for the proposed production. Richard feared that lack of organisation would be a problem. We would not want TADS’ name associated with any production that would not meet our standards, but it is still unclear whether the fair is looking for a production team from TADS or just for volunteers to help. No action will be taken generally until the February meeting, when Steve and Bernie are due to come and talk about progress and a plotline.

Action:

Richard to tell Steve and Bernie the date, time and venue of the next meeting.

Treasurers Report

Little has changed since the last meeting.

£272 has been spent on posters, flyers, etc. for Pride and Prejudice, and Richard asked for £293.75 for costumes. About £100 in addition would be needed for costumes, and the set has cost £86.

Penelope Tubbs had inquired about whether TADS’ insurance covered the items of furniture which she would be loaning for P&P. John reported that the insurance covers up to £7824 for such items, with £100 excess, but he will clarify this. It would be sensible if Penelope checked that she has insurance valuation for each of the items concerned.

Actions:

Richard to ask Penelope about her own insurance valuations.
John to phone the insurance company to clarify the cover, and ask for a policy statement.

Pride and Prejudice

Progress

The play is coming together and looks very promising, although Richard hasn’t been able to spend as much time on it as he would have wished. Attendance at rehearsals has been a  problem throughout – the previous night’s rehearsal was the first with a full cast. It’s a difficult play with lots of big scenes, and everyone has worked very hard.

Sales and publicity

360 tickets have been sold so far; 400 are needed to break even. The Echo and Admag will both run features this week, and Richard will be talking about the production on the John Rockley show on Radio Gloucestershire. The what’s on guides in Radio Gloucestershire and Hereford and Worcester radio will include mentions of the play. 

Licence

Richard has had some problems with the payment of the licence ($210). He has sent £105, after erroneously calculating the exchange rate, and received a receipt for $105. He has emailed to correct this mistake, but has still to pay the additional £5 or £6 outstanding.

Costumes

are coming on well, despite protests and complaints from the wardrobe mistress. For some parts only one costume is available, but this will be varied with cloaks, bonnets, etc. All costumes should be available for the dress rehearsal on Sunday

Tech / dress rehearsal

Cast and crew should arrive at 2 pm. The tech rehearsal will start at 3:30 pm, with a full run-through of Act 1 to get everyone used to the different stage dimensions. The remainder of the play will be run cue to cue, with full run-throughs of the songs and the lighting effects.
The full dress rehearsal will start at 6:30 pm. Brenda Maber will act as dresser / runner, and Ann Vincent will help with hair and make-up. Richard has been unable to contact Paula Brooks. Ladies with short hair will wear ringlets at the front; those with long hair will dress it in a bun.
The last rehearsal will be on Tuesday 22nd January.

Props

are nearly ready. Brenda had planned to buy a new plain brown cardboard hatbox, which will need to be decorated. Richard thought that this was an unnecessary expense and that we should try to dress up Liza’s hatbox.

Programme

Ian from the bar is putting the programme together, and has been ringing cast members for quotes. It will be 3-fold A4 format, with the picture from the flyer on the front. It must contain acknowledgements to John and Janet Harvey, Paddy and Roger Grimshaw, Sarah at Masquerade, and Sue Evans. Sircombe have quoted £70 for printing 250, and we will sell it at 60p. John will co-ordinate Roses volunteers in selling the programme, and arrange a float.

Adjudication

The adjudicators will attend the Friday performance; Liza will welcome them

Photographs / video 

Liza will take photos at the dress rehearsal, and Oonagh will ask a friend to arrange a video.

Footnote

Richard commented that rehearsals for this play have taken place in freezing cold halls, and that he is reluctant to put on another show with winter rehearsals.
Action:

John to arrange float for programme sales.


Next Productions

One Act Play Festival Brenda would still like to direct her play Once this was a poet for the Gloucestershire One-Act Play Festival. She has shortened it and changed the ending, so there would be no need to get permission for use of the song, but still needs to shorten it a little more. Although Paula will be leaving the area at the end of February, she is still keen to take part and would return for rehearsals on Sundays. We would be able to use the Roses room for these, at no charge. Brenda could work individually with Richard and Paula on the poems that form a large part of the script. Richard will read the new version when P&P is over, and decide whether he wants to take part.
Geoff's two plays Oonagh has not yet read the play she took, although Hannah has read the other; she enjoyed it, but would rather act in it than direct it. Hannah took Oonagh’s, and Brenda will read the one Hannah has read. Penelope too wants to read the plays.
Decisions on next productions will be made at the February meeting.
